Plan for the workspace and its deployment
The per-user price is the OfficeDocs software licence. Servers, storage and networking are outside that price; private cloud infrastructure provided for you is quoted separately. Use the deployment documentation to scope the environment your team will operate.
AI features connect to model, search and embedding services you configure. Budget for those services according to your provider or hosting arrangement, and confirm their charges separately when planning your deployment. Choose a plan and get started
Count your team members: up to five people use Free; above that limit, Team is charged for every user, not just the additional seats.
Review deployment requirements with your administrator and decide which AI services, if any, you need to connect.
Contact sales with your team size and deployment needs to request the appropriate licence.
After deployment, activate the licence in the operations platform. Follow the licence management steps to check the verification results before publishing it.

How much does OfficeDocs cost?
OfficeDocs is free for teams of up to five people, with no time limit. Teams larger than five pay $5 per user per month for advanced permissions, single sign-on, audit logs and AI assistance, and annual billing reduces that by 20%. The servers the suite runs on are separate from the licence.
Is there a free plan?
Yes. Teams of five or fewer people get the complete workspace at no cost: documents, writers, spreadsheets, presentations, tables, shared workspaces, comments and version history. The licence is perpetual, so it does not expire.
What does the paid Team plan add?
Unlimited team members, advanced permissions and administrative controls, single sign-on, audit logs, and AI assistance across the workspace. Everything in the free plan is included in it.
Does the price include the servers?
No. OfficeDocs is deployed into infrastructure you control — a single-node or high-availability Kubernetes cluster — so the servers, storage and network are yours and sit outside the per-user price. Where private cloud infrastructure is provided for you, it is quoted separately.
How is the licence delivered?
As a licence file that is activated from the operations platform. Because it is a file rather than a call-out to a licensing service at runtime, the suite can be licensed on a network with no route to the internet, including an air-gapped one.
Is there a discount for paying annually?
Yes. Annual billing reduces the per-user price by 20% compared with monthly billing.
