ONLYOFFICE and OfficeDocs both self-host and both edit Office files. That is where the overlap stops being useful. ONLYOFFICE is an office engine — desktop editors, a document server, unusually strong OOXML fidelity, especially for spreadsheets and print-oriented documents. OfficeDocs is a document collaboration suite — real-time docs, sheets and slides with permissions, audit and configurable AI attached to those objects, deployed in a private cloud you control.
If the job is “open this xlsx, change it, send it back looking like Word/Excel produced it”, ONLYOFFICE is often the shorter path. Confirm current editors and server editions with the vendor. If the job is “this contract lives here, these people can see it, this is the audit, and an agent can draft inside it without the text leaving our network”, you are comparing a suite, not two engines.
What ONLYOFFICE is for
Format fidelity as the product. Teams that live in .docx and .xlsx, exchange them with clients, and print them, care whether a round trip preserves layout, formulas and tracked changes. ONLYOFFICE’s reputation in this category is built on that, particularly spreadsheets. Test with your worst files; vendor samples pass.
Desktop editors that are actually used. A browser editor is not always the workstation. If people need a local app that speaks OOXML, that is a load-bearing requirement. Confirm current desktop, mobile and server packaging with ONLYOFFICE — the mix of Community, Enterprise and cloud editions changes, and this article will not invent a price list.
An open core. There is a real community edition. The controls enterprises ask for — finer permissions, audit, SSO — sit in paid tiers. That is a commercial design, not a moral failing. Budget for the tier that matches the review, rather than discovering the gap in a security questionnaire. Confirm which control lives in which edition with the vendor; do not freeze a design on a third-party comparison.
A server you can run, or a cloud they run. Self-hosting is available. So is their cloud. Those are different data-handling stories. If the driver is boundary control, only the self-hosted path is in scope, and you still have to ask where the Document Server sends anything.
What a suite is for
A suite is not “ONLYOFFICE plus some sharing”. It is a different layer.
The document is the object. Comments, suggestions, versions, share links and retention attach to it. The file on disk is storage, not the product.
Controls that a security review asks for in document language. Group-to-role mapping from your directory, guest expiry, an audit of a single document, legal hold that intersects deletion. Folder ACLs and a server log can approximate some of this. They are still approximations. Confirm ONLYOFFICE edition behaviour for SSO, audit and sharing against the questions in your review; this page will not invent that matrix.
AI that is inside the document and inside the boundary. Agents that edit with a visible identity, on a model endpoint you point at. That is a suite feature with a deployment consequence. An office engine may grow assistants; confirm with the vendor where inference runs. Do not assume an on-premises editor never calls out.
Collaboration as the default session, not “open, edit, save, close”. Concurrent editing, suggestion mode, comments that survive the next save.
The platform comparison puts private deployment, permissions and price next to each other. It does not tell you which axis your bake-off is actually on.
A decision table
| Requirement | Shorter path | Why it is shorter |
|---|---|---|
| Desktop Word/Excel-class editors and OOXML round-trip, especially spreadsheets and print | ONLYOFFICE, on the edition that includes what you need | You are buying an engine. Confirm Community versus commercial controls with the vendor |
| Files already in Nextcloud; you want to open them | ONLYOFFICE or Collabora as a Nextcloud plugin | Incremental. See OfficeDocs vs Nextcloud |
| Document-layer permissions, audit, SSO, guests with expiry | A suite | Those are collaboration-layer controls, not editor features |
| AI agents that edit inside the document on your endpoint | A suite | Confirm any ONLYOFFICE assistant data flow separately; do not assume it matches |
| One system for docs, sheets, slides, forms and tables | A suite | An engine plus a cabinet plus a form tool is three operations stories |
| Lowest-friction open-core editor on your VMs | ONLYOFFICE Community, if the edition covers the review | Confirm; paid controls are the usual surprise |
Notice the table is not ticks. It is “which problem are you solving this quarter”.
Open core, without a fake price list
ONLYOFFICE’s Community edition is real, and it is not the whole product. Enterprise reviews tend to ask for SSO, audit and finer access control, and those typically sit behind commercial editions. That pattern is common in open-core office software. It is not a reason to dismiss Community; it is a reason to read the edition matrix before a pilot is declared a success.
This article will not quote Community versus Enterprise list prices, user caps or connector SKUs. Those change. Confirm with ONLYOFFICE. Confirm the same way for desktop licence terms if the workstation app is load-bearing.
A suite has its own commercial facts, stated once on the site rather than restated here. The comparison that matters is still the axis: fidelity and desktop, or document-layer control and in-boundary AI.
How to run the bake-off
Fidelity first, with your files. Five real workbooks, five print-oriented documents, one deck with embedded fonts. Import, edit, export, compare values and page breaks. This is the test ONLYOFFICE is built to win, and the test a suite can still fail. Do it anyway.
Controls second, with your review questions. One document, an external guest, a leaver, an export, an admin who should not see the file. Ask both systems to produce the evidence. If ONLYOFFICE’s answer is “on Enterprise” or “in the admin console of the Document Server”, write that down and price that edition.
AI third, as a data-flow question. Where does the prompt go. Who can read the document context. Can the endpoint be yours. If the answer is unclear, treat it as not in-boundary until the vendor says otherwise.
Do not skip coexistence. Some organisations keep ONLYOFFICE for print-and-exchange files and run a suite for the living documents. That is a design. It is extra operations. Write down which system is authoritative.

Frequently asked questions
When is ONLYOFFICE the shorter path?
When the requirement is desktop editors plus round-trip fidelity against Word, Excel and PowerPoint, especially print-oriented documents and spreadsheets that must compute the same number after a round trip. Confirm current Community versus commercial edition capability with ONLYOFFICE; do not treat a blog as a licence matrix.
When is a document suite the better comparison than ONLYOFFICE?
When you need document-layer permissions, an audit trail you can produce, single sign-on against your directory, and AI agents that edit inside the document on an endpoint you nominate — all running in a boundary you operate. That is a control and collaboration layer, not a better OOXML engine.
